Getting started
Up and running in about 15 minutes.
No setup calls, no imports team, no credit card. Follow the track that matches you — and inside the app, a Getting-Started checklist ticks itself off as you go.
For founders & admins
Setting up your company’s brain from scratch.
- 1
Create your company
2 minGo to Sign up and enter your company name, your name, email, and a password. That creates a brand-new private workspace with you as its admin — your data is fully isolated from every other company.
- 2
Answer the quick setup questions
3 minA short onboarding asks about your role, team size, and what you want GhostNote for. This just personalises things — you can change nothing-critical here.
- 3
Invite your team
2 minIn onboarding step 4 (or later from the People page), enter each teammate’s email and press “Create invite links.” Copy each link and send it over WhatsApp or email. Every link works once, only for that email address, and expires in 7 days — you can re-issue new ones from People any time.
- 4
Import a spreadsheet
5 minOpen Company Brain in the sidebar, expand “Add company data,” and drop in any Excel/CSV of products, customers, or revenue — messy formatting is fine, columns are detected automatically. From then on the brain answers revenue questions with real figures, each one citing its source.
- 5
Do your first check-in
30 secClick Check in and write one line about what happened today — a decision, a vendor call, a problem solved. The AI structures it into memory. This is the daily habit that compounds; go first so your team sees you doing it.
- 6
Follow your checklist
ongoingOwner Mode shows a Getting-Started checklist that ticks itself off as real data arrives — team invited, spreadsheet imported, risk simulations unlocked. When it’s all green, your company brain is running.
For team members
Joining a workspace your admin already created.
- 1
Open your invite link
1 minYour admin sends you a personal invite link. Open it, set your name and a password, and you’re in. (No link, or it expired? Ask your admin to re-issue one from the People page.)
- 2
Do your first check-in
30 secClick Check in and write one line about today’s work. That’s the whole ask — one line a day. The AI turns it into structured company memory.
- 3
Optional: connect Gmail or Calendar
2 minIn Settings → Integrations you can connect your own Gmail or Google Calendar. GhostNote then drafts memory from your emails and meetings — but nothing is saved until you personally review and approve each draft. Your inbox stays yours.
- 4
Ask instead of interrupting
any timeUse Company memory to search decisions and context, or Ghost memory to ask people and records directly — answers come with their sources. The more the team captures, the less everyone gets pinged with “quick questions.”
What you see vs. what admins see
Your workspace shows your check-ins, drafts, and the shared company memory. Founder tools — the Owner-Mode cockpit, risk simulations, revenue data, and analytics — are admin-only. Drafts from your email or calendar are never saved without your explicit approval.
