Overview

GhostNote helps teams capture and transfer institutional knowledge. This policy explains what data we access, how we use it, and the choices you have. We collect only what is needed to provide the product and we never sell your data.

What we access

  • Account data: your name, email address, and organization, used to sign you in and associate your data with your account.
  • Gmail (optional, read-only): if you connect Gmail, we request the gmail.readonly scope to read recent message headers and bodies so we can suggest reviewable knowledge drafts. We do not send, modify, or delete your email, and we do not read attachments.

How we use Gmail data

Connected email is processed to extract decisions, blockers, people, and context into draft entries that you review. Nothing from your email becomes shared knowledge until you explicitly approve a draft. You can disconnect Gmail at any time from Settings, which revokes our access token with Google and stops all future syncing.

Google API Services Limited Use disclosure

GhostNote's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not use Google user data for advertising, we do not sell it, we do not transfer it to others except as needed to provide or improve the feature you requested (or as required by law), and we do not allow humans to read it except with your explicit consent, for security, to comply with the law, or in aggregated anonymized form for internal operations.

Data retention & deletion

We retain connected-email drafts and approved entries until you delete them or your organization is removed. Disconnecting Gmail stops new syncs; you can also request full deletion of your data by contacting us at the email below.
